Digital Fax

A digital fax service has been made available for Daytime MBA and MMS – Foundations of Business students.

What is a Digital Fax?

Fuqua’s Digital Fax service allows you to send electronic data (Word, PDF, Excel files, etc) via an easy to use web interface.

  • Is there a cost associated with it: No. You can send a digital fax from any location as long as you have Internet access and an electronic version of the fax you wish to send.
  • Can I Send From Other Locations? Yes. You can send a digital fax from any location as long as you have Internet access and an electronic version of the fax you wish to send.
  • Can I Receive Faxes? No. Fuqua’s Digital Fax Service is currently limited to sending faxes. Incoming faxes can be handled through the Building Management Office (BMO). They request that you make arrangements to be present when the fax is scheduled to arrive. The BMO fax number is (919) 684-2818.

Requesting an eFax Account 

eFax is the University’s fax over IP service. Use the information below to request an account.

Logging into eFax  The eFax Web Login page is located at myfax.oit.duke.edu. You must be on the Duke VPN to access this web address. At the login page, you will be redirected for login via Shibboleth. To login, use your netID and your netID password. Upon a successful login, you will be forwarded to the Inbox of your eFax account.

Note: If you have already logged into another application requiring Shibboleth, you may be sent directly to your eFax Inbox page without having to login again.

Creating and Sending a Fax  

To use this feature, you must have faxing rights. To create and send a fax using the Compose feature of the Web Client, perform the following steps:

  1. Select Compose
  2. In the Compose tab
    a. Enter recipients name
    b. Enter recipeints company name if applicable
    c. Enter recipients phone number in following format 15552224444 (phone number should include leading “1” followed by area code and phone number)
  3. Enter the Subject of the fax
  4. Enter the actual text of the message in the Comment section.
  5. If you need to use a specific coversheet, select a coversheet in the CoverSheetdrop-downlist, or select None if you do not wish to append one to the fax.
  6. If you want to join an attachment to the fax, refer to “Adding One or More Attachments to a Fax” below.
  7. You can modify the sender and company information or the settings for the current fax.
  8. Click the Submit button, located above the Compose feature’s tabs.

When submitting a fax, the Web Client confirms the sending status with a Broadcast Id confirmation.

Note: You can add a contact to your personal phone book when a fax is sent. However, this action can be configured beforehand.

Adding One or More Attachments to a Fax 

This procedure takes into consideration that you are preparing a fax before sending it.

  • Click Browse and select a file to upload to the fax.
  • If you need to add more than one attachment, click the More attachments button. A new section below the Browse field opens.
  • Click Browse and choose the file you wish to upload to the fax then click Add.
  • Repeat this operation for every fax attachment.
  • Use the Move Up and Move Down buttons to modify the order of the attachments.
  • If you need to delete an attachment from the list, select an attachment then click Remove.

Checking the Status of Sent Faxes  You can check the status of your digital faxes by clicking Outgoing Queue or Outbound History. Outgoing Queue displays faxes that are in the process of being sent. Outbound History displays the status of all faxes that have completed the send process. This will include faxes that have failed to reach their destination. You should also receive an e-mail confirmation once the fax has been processed.
